The truth of the matter is, fleet tracking is built around limiting liability and preventing risks where we can. For that reason, we leave no box unchecked.

Protecting business assets from threats of theft is in essential part of what we do. Especially because you never know when someone will try to steal your vehicle or trailer.

But, a lot of businesses have thieves on their payroll and they truly have no idea. Without the appropriate policy in place, it’s hard to say who is in the wrong.

With policy – that can be included in your driver handbook – you can communicate expectations and eliminates drivers misusing your assets.

Here are the steps:

Coaching business team

Step 1: Create a Policy

You cannot explain to your employees that they are misusing your assets if you do not define what misuse is.

Creating the policy is not only thinking through zero-tolerance and prohibited behavior, it is putting those terms to paper.

This allows everyone to have the same idea of policy abuse and eliminate confusion of the rules.

It’s OK if you don’t have the policy already created, even if you’re already tracking. Once you create the policy, you should start the next step.

Step 2: Communicate Expectations

Communication allows employees to understand the expectation and fix their behavior before it becomes a problem.

If you notice that one of your employees has been using vehicles after hours to do jobs on the side but that is not in your policy, you will need to communicate why that is not appropriate and add policy to reflect that.

Many employees who are leased cars often use them for personal use, make no mistake. But that doesn’t warrant termination to every business.

Communicating to your employees what the policy is can also help create a tiered system where there are zero tolerance behaviors, coachable behaviors, and positive behaviors.

TALK TO A REP ABOUT POLICY

Step 3: Enforce Policy

If everyone in the organization knows the policy, there are no questions asked when the policy is enforced.

But Fleet tracking should not be used solely to get rid of employees, that wouldn’t make sense.

Your organization can instead use tracking to identify problem areas and then determine the solution that best fits.
